I may change the policy notice occasionally. You can check this policy notice from time to time to ensure that you are aware of the most recent version. The current version is v02, written on December 7th, 2024.
The type of personal information I collect
I currently collect and process the following information:
• Your name, phone number (more than one where applicable), email and postal addresses, age and date of birth. I will generally use your preferred method of communication, only using another if unsuccessful and the need to contact you is urgent.
• The name, address and phone number of your next of kin.*
• The name, address and phone number of your doctor (GP). *
* These are only taken with your permission and will only be used if I believe you to be at risk.
How I get the personal information and why I have it
Most of the personal information I process is provided directly by you through:
• The website contact form.
• The completion of a counselling contract form.
For one of the following reasons:
• For me to be able to contact you.
• For my financial records.
• For my company records.
• To enable me, if I believe it appropriate and necessary, to contact your next of kin and / or doctor.
• Provide you with a quality service.
We also receive personal information indirectly, from the following sources in the following scenarios:
• If you pay by bank transfer, your name and a reference number will be supplied by your bank and recorded by mine.
We may share this information with professional service partners and organisations as required by law.
Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are:
A. Your consent. You are able to remove your consent at any time. You can do this by contacting Paul Allen.
B. We have a contractual obligation.
C. I have a legitimate interest.
How we store your personal information and for how long
Your information is securely stored on my password protected desktop, my password protected phone, and on paper at my home address.
I will retain all of your information for the duration of our time working together, and your contact details for an additional seven years for tax purposes.
Session records
These notes are anonymised and kept separate from contact details.
These are primarily a record of attendance and details of our conversations which inform the basis of ongoing reflection, enabling me to ensure that I provide the necessary service and support. I will not share this anonymised information except where it is required for the award of qualifications such as by universities or organisations, or with my supervisor.
Your data protection rights
Under data protection law, you have rights including:
the right to ask us for copies of your personal information.
right to ask me to rectify personal information you think is inaccurate or complete information you think is incomplete.
the right to ask me to erase your personal information in certain circumstances.
the right to ask me to restrict the processing of your personal information in certain circumstances.
the right to object to the processing of your personal information in certain circumstances.
the right to ask that I transfer the personal information you gave me to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
